Yes, a 'Purchase Order Content Summary' Snapshot can be run to identify short deliveries.

Please follow the below steps, or check out this article, How to generate a Snapshot report.

  1. From 'Dashboard', click on the 'drop down', go to [Snapshots], as below.

2. Scroll down on your mouse or move the page down until the 'Group Snapshots' box appears, as below, and click on [Purchase Order Content Summary].

3. Click on the 'green' '+Purchase Order Content Summary', on the top left hand side of the screen, as below.

4. On the pop up window, entitled 'New Purchase Order Content Summary',

  • under 'Start date', click on the little 'calendar' icon, and select the date the report is to start from.

  • under 'End date' click on the little 'calendar' icon, and select the date the report is to finish on, as below. Click [Save].

(Note - this Snapshot reports on all Purchase Orders in Purchase Plus within the chosen date ranges, including Purchase Orders that are not 'Received to Inventory').

(Note - To ensure optimal performance of Purchase Plus, Snapshot Reports are limited to 5,000 lines each. If the above pop up window expands to fill the screen, that means there are more than 5,000 line items in the report, and therefore has caused an error. If a report with more than 5,000 lines is required, our recommendation is to create several smaller, sequential, reports and merge them in Google sheets).

5. The Snapshot report will now show as 'Open' status. Refresh the page by clicking the 'refresh' icon at the top left hand side of the screen and the Snapshot report status will change to 'Complete'.

From the below screen, previously run Snapshots can be searched by their creation date, type the required date into the 'Search for Purchase Order Content Summaries', and click on the 'magnifying glass' icon. The Snapshots can also be run again, by clicking on the 'blue' 'Repeat' icon, or deleted by clicking on the 'red' trash can button.

6. Now the Snapshot is 'Complete', as below, the report can be downloaded by clicking on the 'blue' [Download] button, which will convert the report to an Excel spreadsheet and show on your desktop. The spreadsheet will need to be filtered accordingly.

Alternatively, the report can be viewed on screen, by clicking the 'eye' icon on the corresponding line, as below. This report identifies all the details of a Purchase Order, including the quantity of products ordered and any outstanding quantities. The Purchase Order will need to be opened individually to identify the name of the outstanding products.
